Free invoice generator for South African businesses

This free tool lets you create a professional invoice in a few minutes, without signing up or installing anything. Fill in your business details, add your line items, and download a clean PDF to send to your client.

It is built for small businesses, freelancers, contractors and tradespeople in South Africa. It works in rand, handles VAT at 15%, and lets you put your banking details and payment terms on every document.

How to make an invoice online

  1. Pick the document type at the top: invoice, quote, pro forma, credit note or receipt.
  2. Add your business name, address, email and VAT number, then upload your logo.
  3. Add your client’s details and the invoice date and due date.
  4. Add your line items with quantity and price. VAT and totals are calculated for you.
  5. Add your banking details and notes, choose a template and colour, then click Download PDF.

What to put on a South African tax invoice

A tax invoice generally needs the words “Tax Invoice”, your name, address and VAT number, your client’s name and address, an invoice number, the date, a description of the goods or services, and the amounts with VAT shown. This tool lays these out for you. Requirements can change, so confirm the details with SARS or your accountant.

Frequently asked questions

Is this invoice generator really free?

Yes. It is free to use with no sign-up, no watermark and no limit on how many invoices or quotes you make.

Does it work for South African VAT?

Yes. The default tax is VAT at 15%. You can add your VAT number and your client’s VAT number, charge VAT on top of your prices or treat your prices as VAT-inclusive, and untick the “Taxable” box on any line to zero-rate or exempt it. If you add your own VAT number, the document is titled “Tax Invoice”. Check your own VAT requirements with SARS or your accountant.

Can I make a quote and turn it into an invoice?

Yes. Choose Quote, fill it in, then use “Convert this quote to an invoice” to keep all the details and get a new invoice number.

Can I add my logo and banking details?

Yes. Upload your logo, pick a template and colour, and add your banking details and payment terms so clients know how to pay you.

Where is my information stored?

In your own browser on your own device. We do not upload your invoices or client details. You can export a backup file and import it again later.

Can I invoice in rand and other currencies?

Yes. Rand (ZAR) is the default, and you can switch to US dollars, euros, pounds, UAE dirhams, Botswana pula and more.

How do I send the invoice to my client?

Click Download PDF and attach it to an email or WhatsApp message. You can also use Print and save it as a PDF from your browser.
